Executive Assistant to President of Fluke APAC
Location: Shanghai, China
Job role:
Provide administrative support to Asia President such as China business meetings/venue arrangement, customer visits, training, visitor trips to oversea countries, travel arrangements, also as back up support to other functional areas.
This involved interacting with staff (both domestic and international), customers and other stakeholders to enable the successful achievement of corporate, team and individual goals.
Key responsibilities:
1. Admin support to Asia President
? Schedule meetings, collect data and making report / presentation, e.g. weekly, monthly business, quarterly or annual forecasting / reviews with individual sales managers, support managers, marketing / business development managers and staff;
? Arrange schedule for AP Business Head to visit customers and meetings with VIPs;
? Arrange business trips, booking hotels, airport pickup, car rentals, help expense reports, etc.
? Assist the AP or country sales meetings, agenda drafting, venue planning and event hosting, feedback/survey collections;
? Expats’ support incl. expense claims, application of passport, visa, permit requests & etc.
? Assist AP/China marketing events
? Allocate customer speakers, facilitate communications and trip arrangement.
? Prepare and enter expense reports for domestic and international expenses.
2. Office general service related to maintain good working standard and company image incl. office admin support, vehicle & driver management, property & facility management, purchasing of general supplies and related job assigned by manager
3. Other Admin Support as requested by Heads
Education / Experiences:
? A bachelor's degree or equivalent in business administration, marketing, trading or a related field with relevant experience in multinational company for at least 3 years, oversea experiences as advantage
? Excellent written and verbal communication skills both in Chinese and English.
? Experience in development and management of events, conference, displays, workshops and exhibitions
? Demonstrated ability to organize own work, to work efficiently, productively and independently, detail oriented and ability to manage multiple tasks.
? Demonstrated ability to work on a range of tasks as part of ongoing projects, and to make sound decisions in order to meet deadlines for the completion of projects or activities
? Interpersonal skills suitable for a people-oriented job, requiring interactions with many people both inside and outside the organization
? Organizational skills relevant to subcontracting work to outside organizations and consultants and working in teams
? Be creative, enthusiastic, driving with team-building skills
